1. Objective
To establish a precise, rapid-response communication framework to avoid technical
infrastructure failures. The primary goal is to protect the integrity of ongoing clinical
research data and ensure the safety of participants within the Hewlett Packard LIT Lab
environment.
2. Scope
This protocol applies to all critical system failures, including:
• Sensor Data Outages (Impacts real-time participant monitoring).
• Server/Network Connectivity (Affects secure data logging and storage).
• Environmental Control Systems (Affects clinical lab stability).
3. Procedure: The "Precision Response"
Phase 1: Validation & Impact Assessment
• Confirm: Liaise with the Lead Researcher/Engineer to determine the "Data Risk
Level."
• Categorize: Is this a Critical Interruption (Current testing must stop) or a
Technical Degradation (Background data logging impacted)?
Phase 2: Stakeholder Notification Tiers
1. Tier 1 (Immediate): On-site Business Unit Lead. Verbal notification to pause
active human testing.
2. Tier 2 (Strategic): Departmental IT & Principal Investigators. Email notification
regarding data integrity and potential "gaps" in the study logs.3. Tier 3 (Operational): Maintenance/Facility teams for environmental hardware
resets.
Phase 3: The Communication Log All incidents must be documented in the Incident
Repository with the following "Precision Markers":
• Timestamp of Detection vs. Timestamp of Notification.
• Root Cause Category (e.g., Hardware, Software, External Utility).
• Remediation Steps Taken to prevent data corruption.
4. Quality Assurance (The "LIT Lab" Standard)
• Language: Use non-alarmist, objective technical language.
• Archiving: Ensure the final incident report is cross-linked with the specific
Research Project ID in the departmental SharePoint.
